Job Resbonsibilities & Qualifications Qivliq Federal Group is looking to hire an Administrative Support Specialist to join our team supporting one of our current government customers. In this role, you will provide administrative support gathering information, identifying and analyzing issues, and developing recommendations to resolve procedural or administrative problems affecting the efficiency, effectiveness, or productivity of the department.
Responsibilities Include:
  • Performs administrative functions for the Center. Scheduling, organization, accumulation of data and coordination of simulated training with other services is required.
  • Plans and carries out assignments in accordance with accepted policies and applicable precedents, resolving most conflicts that arise. Keeps supervisor informed of progress and potentially controversial findings or problems with widespread impact. Completed work is reviewed from an overall standpoint in terms of effectiveness in meeting requirements and practically of recommendations.
  • Assists with coordinating simulation training from task trainers to highly sophisticated virtual reality medical simulators.
  • Ensure that personnel adhere to the Centers Standard Operating Procedures (SOPs) especially regarding the proper use of simulators and supporting equipment.
  • Writes and updates the SOPs.
  • Tracks and reports training results to Medical Director and ensures that all conditions and actions necessary to produce desired training results are considered.
  • Researches simulation technology and provides Medical Director with the findings.
  • Provide advice and assistance to services on matters concerning the application and utilization of all types of training simulators.
  • May act as a proctor/technician during simulation training and assist other proctors
  • Responsible for providing monthly reports to the Simulation Programs Manager on Center use, training, and budget issues.
  • Responsible for working with Foundations to support the forms necessary for purchases. Assist in initiating and maintaining appropriate documentation for budget request.
  • Responsible for data collection paperwork and justification for purchases of new simulation technology. Monitors and documents simulation use by obtaining training information.
  • Helps in maintaining training database and maintaining a file of past and cumulative usage.
  • Assist and utilizes databases for acquiring, maintaining, and tracking simulation equipment/supplies and for the turn-in of equipment/supplies.
  • Adheres to the hand receipt policies at the appropriate Military Training Facility (MTF). Communicates with Resources Management, Logistics, and Material Branch personnel to understanding purchasing and funding requirements.
  • Assist and/or arranges for calibration and repair for simulators/equipment and arranges for maintenance of all instrumentation and equipment associated with each simulator.
  • Responsible for problem solving on all simulators/equipment and coordinates with supporting activities such as Automation Management Organization, Facilities Management Department, Biomed, Logistics, and Audio/Visual.
  • Available to departmental representatives for participation in development and conducting of research protocols.
  • Assists in collecting the necessary data to ensure reliability of protocol results. Participates in the research and viability of new simulation technology.
  • Attends simulation conferences and arranges demonstrations of new simulation technology. Maintains professional contact with all MTF personnel, vendors, visitors to the Center.
  • Promotes the MTF Simulation Center by providing informational tours for visiting dignitaries, public organizational, internal/external persons interested in the Centers activities.
  • Promotes the Center through researching simulation technology, providing demonstrations or the technology, and contracting the appropriate personnel to attend.
Minimum Qualifications:
  • Work requires knowledge of the Navy and Army s MTFs policies and procedures in order to assist with coordinating simulation training and purchasing supplies requests.
  • Knowledge of medical terminology, simulation technology and ability or aptitude to learn simulation software in order to participate and understand training, and generate useful recommendations concerning simulation training.
  • Must be able to communicate both verbally and in writing. The work requires ability to write justifications for purchases assist in justifications for personnel and communicate in writing to the Simulation Programs Manager and other MTF organizations.
  • Must possess the ability to multi-task and work in an environment with constant interruptions and reorganization.
  • Knowledge of the shipping/receiving process and the ability to track simulation equipment that has been returned to vendors for repair or maintenance.
  • Practical knowledge of audio-visual in order to support the Simulation Centers AV requirements such as Digital Light Projects and video camera or the ability and desire to learn.
  • Must be computer literate and possess the ability to learn new simulations software easily.
  • Documented current EMT (Emergency Medical Technician)
  • Three to five (3-5) years of working experience with medical mannequin simulators, virtual reality medical platforms and clinical task trainers
  • Three to five (3-5) years of experience program planning
  • Three to five (3-5) years of writing standard operating procedures (SOPs)
  • Able to multi-task in a fast paced environment
  • Three to five (3-5) years of documented work experience with programming scenarios for Laerdal Medical (SimMan, SimMan Essential, SimMan 3G, SimJunior, MegaCode Kid, SimBaby, SimNewB Adv), Gaumard Scientific (Noelle, Neonate HAL, Pediatric HAL, Dynamic Lung and S3201 adult medicine mannequins), CAE Healthcare (Human Patient Simulation HPS
  • Dynamically able to work in a fast paced environment with shifting priorities in order to support the Simulation Center s customers.
  • Team player that works with a wide variety of personality and learner types.
  • Takes initiative on projects while communicating plans and ideas to the center s service chiefs for further direction as warranted.
  • Knowledge of equipment accountability, sub-hand receipts.
  • Desire and ability to think critically and outside of defined lines in order to find solutions for customers.
  • Documented knowledge of Microsoft Office products (certificates of learning)
  • Must possess a High School diploma
  • Shall be able to read, write, speak and understand English
Must be able to obtain and maintain a NACLC clearance. U. S. Citizenship is required to obtain clearance.
