General Accountability

Perform or provide assistance throughout the department assigned by completing duties accurately and in conformity to Bank regulations and procedures for the effective administration of the unit's operations. Provide friendly, efficient customer service when responding to Branches for which the Unit services during the completion of these assignments.

Reporting Relationships

Reports to: Department Manager

Supervises: None. However takes a lead hand in directing several (Senior) Accounting Clerks when covering supervisory posts.

Specific Accountabilities

1. Provide cover in the service as determined by the day to day requirements, for the efficient administration of the Unit. Incumbent is expected to provide cover on a variety of posts in the Department, however a greater percentage of his/her time will be spent covering more senior positions up to and including the (Senior) Operations Officer level by:

- acquiring and maintaining a good knowledge of all operating units within the C.M.U./C.A.U. To do so, the incumbent (a) requires a working knowledge of mortgage and Branch procedures, and (b) is required to keep his/her knowledge current by reviewing manual changes, circulars and procedural changes on an ongoing basis, combined with cross-training as deemed necessary by the individual and his/her supervisor;

- verifying the accuracy and completeness of transactions/documents and non dollar maintenance originating in the serviced Branches;

- ensuring the accurate processing, posting and verification of the daily accounting transactions originating in the C.M.U./C.A.U.

- accurately processing, posting and maintaining the daily transactions originated by Branches, management or a B/F system within assigned Position Authorities;

- delegating, checking and reviewing work preparation and providing direction and support to subordinate staff and ensuring completion deadlines are met when providing cover on the supervisory posts within the C.M.U./C.A.U.

- advising the Department Assistant Manager or C.M.U./C.A.U. Manager of any problem situations observed during relief assignments and providing recommendations for changes.

2. Ensure a high standard of customer service when dealing with Branches in conjunction with ScotiaService Standards in order to assist Branches in the development of new business opportunities and maintaining existing business by:

- providing prompt, courteous and knowledgeable responses to Branch inquiries;

- preparing related correspondence in conformity to Bank standards to customers and Branches/Departments of the Bank;

- maintaining customer confidentiality at all times.

3. Maintain strict adherence to Bank and C.M.U./C.A.U. procedures by:

- ensuring day to day procedures for all stamps, keys, engraved forms, combinations, customer files, and passwords are in accordance with Bank regulations, as determined by the Bank's/C.M.U./C.A.U.'s operating guidelines.

- ensuring C.M.U./C.A.U. Position/Signing Authorities are adhered to as assigned;

- reporting any unusual occurrence of fraudulent activity to C.M.U./C.A.U. Management.

4. Perform other related duties as assigned:

- completing various special assignments for C.M.U./C.A.U. management when not relieving/training in a specific area;

- assisting with training and development of C.M.U./C.A.U.staff by providing guidance, direction and cross training when required.
